  Receptionist
 

The Position

We are currently looking for a Receptionist to join our team. This position will report to the Manager of Human Resources and will play a key role in the continued success of our business.

You will assume full responsibility for customer service at the main front entrance of the company headquarters. Greets and assists customers, visitors, job applicants and employees. Answers and routes incoming telephone calls for 12 line PBX and performs clerical assignments as needed. Receptionist must act as a friendly and professional representative of the company. This position is often the first person people interact with.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
a) Responsible for customer service at the main front entrance of the company headquarters.
b) Greets and assists customers, visitors, job applicants and employees.
c) Ensures incoming telephone calls are answered in a friendly and professional manner.
d) Answers employment applicant questions and provides applications. Reviews application for complete information and signature.
e) Coordinates office supply ordering for main office, as well as second location (DC2) and keep track of them in the computer, sending monthly reports to Purchasing Department. Ensures office supply orders are filled and distributed.
f) Sorts and distributes company mail. Ensures outgoing mail and packages are picked up. Keep track of deposits and Fed Ex packages for pick up.
g) Ensures that designated backup is advised when going to lunch or on a short break.
h) Reports any suspicious activity or visitors to the HR Manager or other appropriate manager.
i) Alphabetize A/P invoices before giving invoices to the Accounts Payable Administrator.
j) Assist Customer Service department when needed.
k) Completes various clerical tasks as assigned by HR Manager.

Desired Knowledge, Skills & Abilities

a) Must have a High School Diploma or GED, some college preferred.
b) Working knowledge of Outlook, MS Word, and Excel.
c) Experience with a multi-line PBX phone system and public address.
d) Must have a minimum of 6 months experience as a Receptionist or comparable customer service position with direct contact with the public.
e) Must have professional appearance and demeanor. Friendly upbeat attitude.
f) Excellent English written and verbal communication skills.
g) Ideal candidate will be bilingual English/Spanish

Upon offer, selected candidate will be required to pass a background screening and pre-employment physical and drug test.
